The article explains how administrators manage Tags in Harmoni to organize Projects, Stories, Dashboards, or Alerts. It covers creating, renaming, filtering, deleting, sorting, and monitoring tag usage. Tags require a personalization key and can be created by admins or users if enabled. There is no limit to tag creation, but only 10 tags per item are allowed. The feature is currently undergoing testing and will be available soon.

1. Admin - Tags
Tags is one of the key areas in Admin. Users can tag Projects, Stories, Dashboards or Alerts to organize, find, and filter items more effectively. Tags are most commonly created and managed by Administrators. When enabled, users can create their own tags.
Tags require a personalization keyKeys that can be applied at the user, site (all users), or company (all users) level.. If you require tags, please contact support@infotools.com.As an Administrator, you can set up and manage the list of tags used across the site. Entity owners, e.g. a Story owner, can then use these tags to tag their item.
To access Tags, click ADMIN in the global menu bar and click Tags to view the available tags.
The Tags area includes all the details about the tags including Tag Name, Entity (the work area it is used in), who and when it was created, and the option to delete the tag. You can sort by the date created or search the list.
2. Create Tags
To create a new tag:
- Open ADMIN from the global menu bar
- Select Tags
- Click
Add Tag(s)
- Enter the tag name
- Click SAVE
or - Enter the tag name
- Click the
(plus) or press Enter and continue entering more tag labels
- Click SAVE to save multiple tags
- Open the Tags area
- Click the +Add Tags option
- Enter the tag name
- Click SAVE
3. Manage Tags
Admins can rename tags, use the filter option to search by entity, or delete tags. Admins can manage tags they did not create. This includes tags created by other Admins and customized, flexible tags created by Creators or Explorers.
Rename or Filter by Entity
- Click the edit pen next to the tag name
- Harmoni asks you to confirm
- Edit the name
- Click the Entity Filter icon
- Select the entity to filter by (you can select more than one)
Harmoni will ask you to confirm that you want to edit the tag name:
Delete Tags
You can delete tags individually or there is an option to select and delete multiple tags. You can also Select All tags if needed.
- Click the trash can next to the tag to delete individually
- Harmoni asks you to confirm
- Delete multiple tags by ticking the box next to each tag and clicking Delete Selected Tags
Harmoni will ask you to confirm the deletion:
Sort or Search Tags
You can sort or search the list of tags to help find tags easily. Type into the search bar to narrow down the list of items of sort by the available options:
- Sort Alphabetically
- Sort by Date Created
- Sort by Tag Creator
Monitor Tag Usage
The Tags area also indicates whether a tag is currently being used. This helps administrators identify tags that may no longer be relevant. For example, if a tag was created several years ago but has never been used, it displays the label NOT USED and may be a candidate for removal.
There is no limit to the number of tags that can be created, allowing organizations to build a tagging framework that suits their needs. When users add tags to items, e.g., a story, there is a limit of 10 tags per item.
