The article explains the use of tags in Harmoni for organizing and filtering Projects, Stories, Dashboards, and Alerts. Tags can be curated by administrators or customized by users with a personalization key. Administrators manage tags via the ADMIN area, including creation, renaming, and deletion. Users add tags to items within each Harmoni area, and can filter to find them easily. Tags improve consistency and discoverability across the platform.

1. Working with Tags
Tagging is a powerful feature in Harmoni that helps you organize, find, and filter items more effectively. Instead of relying on naming conventions within titles, you can apply metadata tags to Harmoni items, making it easier to categorize and locate information as the number of Projects, Stories, Dashboards, or Alerts grow.

Why Use Tags
Harmoni offers a convenient search function in each work area, but while is it useful, it depends heavily on users following the same naming convention. This is especially true with Stories that are shared with you and you share with others. Tags provide a more structured approach by:
- Organizing items through consistent labels
- Making items easier to filter and discover
- Providing a standardized categorization system across the whole site
Tag Options
There are two options for how tags are created:
a. Curated, Pre-Defined Tags
Tags in Harmoni can be centrally managed by administrators. This means that users select from a predefined list of tags rather than creating their own. The benefit of this approach is consistency across the platform.
There can be a number of options for what seem like standard labels, for example:

Once an admin has added the required tags, users can apply these to projects, stories, dashboard and alerts.
b. Customized, Flexible Tags
Creators and Explorers can also create their own tag names instead of using the pre-defined list.

2. Managing Tags (Administrators)
Administrators can create and manage tags through the ADMIN area. Creators and Explorers can become administrators for a Harmoni site. Contact support@infotools.com to find out more information about Admin.
Access the ADMIN area by clicking on ADMIN in the global menu bar. Click Tags to view the available tags.
The Tags area includes all the details about the tags including Tag Name, Entity (the work area it is used in), who and when it was created, and the option to delete the tag.
You can sort by the date created or search the list. Click the plus icon to create a new tag.
Create a New Tag
- Open ADMIN from the global menu bar
- Select Tags
- Click
Add Tag(s)
- Enter the tag name
- Click the
(plus) or press Enter
- Click SAVE
Manage Tags
Admins can rename tags, use the filter option to search by entity, or delete tags. Admins can manage tags they did not create. This includes tags created by other Admins and customized, flexible tags created by Creators or Explorers.
Rename or Filter by Entity
- Click the edit pen next to the tag name
- Harmoni asks you to confirm
- Edit the name
- Click the Entity Filter icon
- Select the entity to filter by (you can select more than one)
Harmoni will ask you to confirm that you want to edit the tag name:
Delete Tags
You can delete tags individually or there is an option to select and delete multiple tags. You can also Select All tags if needed.
- Click the trash can next to the tag to delete individually
- Harmoni asks you to confirm
- Delete multiple tags by ticking the box next to each tag and clicking Delete Selected Tags
Harmoni will ask you to confirm the deletion:
Monitor Tag Usage
The Tags area also indicates whether a tag is currently being used. This helps administrators identify tags that may no longer be relevant. For example, if a tag was created several years ago but has never been used, it displays the label NOT USED and may be a candidate for removal.
There is no limit to the number of tags that can be created, allowing organizations to build a tagging framework that suits their needs. When users add tags to items, e.g., a story, there is a limit of 10 tags per item.
3. Add Tags to Projects, Stories, Dashboards and Alerts
You can tag a Harmoni item, e.g., a story, by clicking the story tile's 3-dot menu and selecting the Tags option.
Use a Pre-Defined Tag
The following steps use a story, but all entities/items can be tagged in the same way.
- Select STORIES in the global menu bar
- On the story tile, select the 3-dot menu
- Click Tags to open the Tag panel
- Click
Select Tag(s) to open the Tag editor
- Start typing the name or use the drop-down menu to select the tag you want
- Click the + icon or press Enter to select the tag
- You can continue to add up to 10 tags
- Click SAVE to add the tag(s) to the story
Tags are visible to all users on the Harmoni site
- Click the 3-dot menu to Select Tag(s)
- In the tags editor, use the drop-down arrow or start typing and select the tag name
- Press enter or click + to add
- Click SAVE
- Open Tags from the 3-dot menu to see the list of tags
Add a Customized, Flexible Tag
With the personalization key turned on to add customized tag, users can create their own tag names.
To create your own tag name, follow the same steps as when adding a pre-existing tag (shown above), but you can type in a new label. You won't see the drop-down arrow, but when you type, you still see the list of pre-defined tags as well.
- Select STORIES in the global menu bar
- On the story tile, select the 3-dot menu
- Click Tags to open the Tag panel
- Click
Add Tag(s) to open the Tag editor
- Start typing the name and either select a pre-defined option or type your own label
- Click the + icon or press Enter to add the tag
- You can continue to add up to 10 tags
- Click SAVE to add the tag(s) to the story
- Click the 3-dot menu to Add Tag(s)
- Start typing and either select a tag name or type your own tag name
- Press enter or click + to add
- Click SAVE
- Open Tags from the 3-dot menu to see the list of tags
Tags can only be modified by an Administrator once they have been created. However, it is possible to remove existing tags and create new ones if necessary.
4. View Tagged Items
There are three ways to view tagged items:
- From the tile 3-dot menu, select Tags to view the tags assigned to the item
- Use the Tagged display tile filter option within each Harmoni area to filter tagged items
- Use the Filter by Tag(s) option to display specific tags
3-Dot Menu
- Open the 3-dot menu
- Click Tags (next to the Tags label you can see the number of tags in the item)
- The Tags panel displays the tag names
Tagged Tile Display Filter
In each Harmoni work area (Projects, Stories, Dashboards or Alerts) click the Tagged filter to display only the items that have tags. You can select the Tagged filter as the default filter by clicking the star next to Tagged label.
- Select the Tagged filter in any Harmoni area to view tagged items
- Click the star next to Tagged to set as the default filter
Filter by Tag(s)
Use the Filter by Tag(s) option to view items with specific tags.
- Click the drop-down arrow next to Filter by Tag(s) to view the list of tags
- Use the tick boxes to select one or more tags
- Click APPLY to display items with the selected tags
- Click DISCARD to discard any selections
When you make the selection you can filter by Any or Only.
- Any: Any item that contains the tag, but may have other tags
- Only: Only items that contain the tag
You also have the options to Select All and Deselect All.
- Click Filter by Tag(s) and select a tag, then APPLY to filter
- Use the Any filter to show tiles with the selected tag and other tags
- Use the Only filter to show tiles with the selected tag only
Remove Tags
To remove a tag from an item, click on the X that appears next to the tag when you open tags in the 3-dot menu. Only the owner of the item can remove a tag once it has been applied. Non-owners do not see the X.
- The Tagged filter displays all tagged items
- Click the 3-dot menu on a tile to view tags
- Click X to remove a tag
