As an Administrator, you can manage user groups to control access and customize the Harmoni experience. In the Groups area, you can create, duplicate, rename, delete, or activate/deactivate groups. Manage the users within groups by manually adding users or sharing a registration link. You can also export member lists to Excel, set default group personalization keys for analysis, app preferences, language, PowerPoint exports, global filters, and asset management.

1. ADMIN - Groups
Groups is one of the key areas in the ADMIN menu. Here you can:
- Find the groups associated with a site
- Create user groups
- Add and remove users from groups
- Override group personalization keys
- From the ADMIN menu, select Groups
- Select a group on the left and view its details on the right
Group Name
Every site is initially assigned a default group, and the name of this group typically matches the name of the site itself. You may see multiple groups, and the selected group displays an orange font.
All Users and Group Users
In the All Users section, you can view everyone who has access to the site. In the next section, the group users are displayed for the selected group. The group name is displayed at the top of this section. In the screenshot above, you can see the Knowledge Base Group is selected and the Knowledge Base Group members are displayed.
Group Keys
Personalization keys allows the Harmoni experience to be customized for users. As an admin, you can override personalization keys at the group level. Not all keys are visible in the ADMIN menu.

Group Registration Link
When you select a group, the registration link displays for this group. Click COPY LINK to share it with others. Any users who register using this link will be registered to the selected group, providing access to projects, stories, and dashboards for that group.
If users are new to Harmoni, their license needs to be validated before accessing shared content.
Group Active
| The checkbox shows if the group is Active. Uncheck to deactivate. Turning this off will not delete the group. |
2. Group Management
Below the list of group names, you can find options that allow you to manage groups.
Create New Group: Start a group, choose its name, and add members
Duplicate Group: Copy an existing group’s settings and users to quickly make similar groups
Remove Group From Site: Delete groups you no longer need to keep your site organized
Export Users of Group to Excel: Download a list of group members in Excel format
Create a Group and Add Users
To create a new group...
- Click the + and enter a new name
- From the list of All Users, find a user
- You can search for a user or use the filter icon to narrow down users by role
- Add the user to the group by dragging and dropping the user to the Group Users drop box
- Click SAVE
- Click the + icon to create a group and give it a name
- Apply a filter to find users based on their role
- Drag and drop users into the group
- Don't forget to SAVE your changes
Duplicate a User Group
Another way to create a group is to duplicate an existing group and adjust the group user list.
- Click the duplicate icon
- The group is added with _1 added to the name
- Rename the group by clicking the pencil icon next to the group name
- To remove a user, select their name in the Group Users list and click Remove
- To add a user, select their name from the All Users list and drag it to the Group Users drop box
- Click SAVE
- Select a group and click duplicate
- To rename the group, click the pencil icon
- Remove and/or add users to the group
- Click SAVE to confirm your changes
Remove Group From Site
To remove a group from the site:
- Select the group name
- Click the Remove Group From Site option
- Harmoni will ask you to confirm the deletion
- Click DELETE
Harmoni will let you know that this change is permanent.
Export Users of Group to Excel/Download User List
- Select a group and click Export Users of Group to Excel
- The file is downloaded to your downloads folder
When you download a group user list, the exported file includes the following details.
- First Name
- Last Name
- User Name
- User Role
- Last Login Date
- Company Name
- Is Active Status
- Last Password Reset Date
- Projects
- Terms and Conditions Accepted Time
- Groups
- Primary Company Name
3. Group Personalization Keys
Personalization keys controls specific features in Harmoni and allow you to customize the user experience. The Group Keys section displays the keys that are visible in ADMIN and lets you know the default setting (value) and provides an option to override the default setting. You can either select from a drop-down list of enter text of a numeric value.
Override Default Settings for Personalization Keys
- Select a group and view the Group Keys section
- Find the key you want to change. You will see:
- Key label
- Current value (default)
- Override (drop-down or input)
- Choose an option from the drop-down or enter a value
- Click SAVE
Note: You can use RESET prior to clicking SAVE to clear all overrides and return to the default setting
- Select a group and update its keys
- Click RESET to restore defaults
- or SAVE to apply changes
When adjusting keys with text or numeric values (i.e., SigDiff Confidence Level) to enable the SAVE option, you need to enter after you type.
Personalization Key Summary
- Group keys can override site-level keys
- User-level keys can override both group and site keys. Only Infotools Admin can set user-level keys.
