Once you’ve created your stories, they automatically update with each data refresh, ensuring you have the latest data in your story as soon as the project updates. Rather than manually exporting your updated stories, let Harmoni's Export Scheduler create the exports with the data you need, ready to download when you want them.

1. Scheduler Overview
After you create a story, you can use the three-dot menu on the story tile to access two options:
- Create a Task
- View All Tasks
- In the STORIES area, click the 3-dot menu on a story tile to access Create a Task
- Fill in the required fields and click SAVE
- Click the 3-dot menu to access View All Tasks
Scheduler is controlled by a personalization key, so you may not see these options available in Harmoni. Please contact support@infotools.com if you are interested to create story exports.
2. Create a Task
Selecting Create a Task from a story tile's three-dot menu opens the task panel. The task panel has all the options for creating a scheduled task:
- View All Tasks
- Task Status: Task is on hold/Schedule to run
- Action: Export to Excel or PowerPoint
- Title
- Include Global Filter
- Run this task: At a specific time
- Run this task: Depending on other tasks
- Save/Cancel
1. View All Tasks
Access the list of tasks available for the current story.
2. Task Status: Task is on hold/Schedule to run
When you first create a task, the Task is on hold. If you need the task to be active immediately, click the toggle to switch to Schedule to run.
If you find you need to pause the task, you don't need to delete it, put it on hold, ready to use again at another time.
3. Action: Export to Excel or PowerPoint
Select the required export option:
- Export to Excel
- Export to PowerPoint
4. Title
Create a title for the task. You can edit the name after saving if needed.
5. Include Global Filter
Select the tick box to include a global filter in your export and use the drop down list to select a global filter option.
6. Run this task: At a specific time
To run an export at a specific time, options are available to specify the start and finish time.
Start Time
- Enter the start time and date by clicking the calendar icon.
- Once the time and date are selected, click the calendar icon again, or anywhere outside of the drop-down menu to close it.
- If you enter a start time that is later than the finish time, both boxes will highlight in red.
- Recurring: Select the periodicity requirement.
Finish
- Enter the end date and time for the task. The default setting is 24 hours after the Start date.
- Tick No End Date if you don't want an end date for the task.
7. Run this task: Depending on other tasks
You can set a task to run that depends on the completion of another of your export tasks.
Use the drop down arrow to select from your list of export tasks. You only see your own tasks and this includes task that have been run and will not run again. To see only current tasks, delete any you no longer need.
8. Save/Cancel
Click SAVE to save the task.
- Once you have filled in all the required information, the SAVE button changes to a teal color.
- Ensure you click SAVE before closing the task pane.
- If you click out of the task pane prior to saving, the task pane closes and it will not be saved.
- Use Cancel to close the task without saving.
3. View All Tasks
Once tasks are created for a story, you can access the tasks via the View All Tasks option. Select View All Tasks from a story tile's three-dot menu to open the task list. The following options are available:
- Task Status
- Upcoming Tasks
- Running Tasks
- Tasks On Hold
- Finished Tasks
- Edit Task/Run Task
- View History
- Task Dependency Type
- Create a Task
1. Task Status
Tasks are grouped into four categories:

Use the check boxes to control which category you see.
2. Upcoming Tasks
All reports that are scheduled to run display in the Upcoming Tasks group.
3. Running Tasks
If you open the Task panel at the time a story export is being created, you will see the task in progress.
4. Tasks On Hold
You can switch the status of the task to On Hold so that it will not run until you are ready.
5. Finished Tasks
A task that is completed and will not run again displays in Finished Tasks.
The following settings define finished:
- The report has run and the recurrence is One-off.
- The Finish date for the report has passed.
- If the task is dependent on another, it will display in finished once the parent task is finished.
6. Edit Task/Run Task
Edit Task
- Click the Edit Task button to access the task details in the Create a Task panel and make any required changes.
- You can delete a task here.
- If you are editing the task at the time it is due to run, the story export will fail.
Run Now
- If you decide you need the report right away, use the Run Now option to run the export.
- The Run Now option is also available after clicking EDIT TASK.
7. View History
See the history of all actions completed for the task.
Once an export has run you can download an export via the history panel:
- Click View History
- Click the download icon to download the export.
- Access the export in your downloads folder.
8. Task Dependency Type
Tasks can be:
- Task dependent
- Time dependent
Harmoni displays a symbol in the top right corner of each task to indicate what activates the task.
When an export is set to one-off, no symbol displays.
9. Create a Task
Click Create a Task to access the task panel and create a new task.
4. Download a Story Export
Once your story exports, you're ready to download it. Harmoni automatically exports your stories, storing them until you're ready.
There are two places you can access the exported stories...
- Notifications Panel
- Task History
Notifications Panel
The easiest place to access your exported story is via the Notifications Panel.
- After the scheduled task has run, you will receive a notification.
- Click the notification alert in the top left of the Harmoni screen.
- Click the DOWNLOAD button on the notification.
- Access the file in your downloads folder.
Task History
You can also download your story export via the Task History.
- From the story tile three-dot menu, select View All Tasks.
- Locate the story task in your list and click View History.
- Click the download icon for your story export.
- Access the file in your downloads folder.
