Sharing your Harmoni dashboards is a great way to collaborate and share insights with others. As the dashboard owner, you can manage who can access your dashboard and how you want users to collaborate.

1. Sharing Dashboards
Depending on who your audience is, there are different ways to share your dashboard.
- If you are creating dashboards for viewers to use, you will create navigation links between dashboards to link them and help users find what they need.
- If you need to collaborate with other users and they need to see the dashboard tile in their dashboard area, you can share it directly with them.
Here are the different ways to share your dashboards:
- You can set user permissions through the share pane: Owner, General, or Unlisted.
- For quick sharing; copy and send the dashboard's URL.
- You can save a dashboard into a story and share the story.
- While the best way to share results and insights is through Harmoni stories and dashboards, you can also export to PowerPoint or Excel.
a. Dashboards Share Pane
When you create a dashboard page, Harmoni automatically adds users to Unlisted Access. This means that as long as you create a navigation pathway to the dashboard page, users are able to access it. Viewers do not need to see the dashboard tile in their Dashboards area (when you click the DASHBOARDS menu) to be able navigate to a dashboard. Unlisted Access is what most users in the site will require.
If you are working with others who require access through the Dashboards area, you can change their user permissions to either General Access or Owner Access.
- General Access allows users to see dashboards under Shared with me.
- Owner Access allows the user to edit the dashboard and it is displayed under Owned by me.
Both of these user permissions allow users to access dashboard pages directly rather than requiring a link or navigation page. This can be useful for collaboration while building and testing dashboard pages.
Sharing Pane
a. Dashboard Name: Name of the Dashboard you are sharing
b. User List: People and groups available for sharing and collaboration are on the left.
c. User Search: Enter a name in the search field to narrow the list and find a specific user.
d. User Permission: Drag and drop user names to grant access to Owner, General, or Unlisted access.
e. Save: After dragging users to the appropriate permission group, ensure you click SAVE.
| User Permission | Description |
|---|---|
| Owner Access |
Full edit and admin access to the shared item. The dashboard will appear in the Owned by me section of the entity display. |
| General Access |
Read-only access. The dashboard will appear in the Shared with me section of the entity display. They can also access the dashboard via a direct link. |
| Unlisted Access |
Read-only access. Users can only see the dashboard if a direct link is shared with them or they click a navigation link. The dashboard will not appear in the Shared with me section of the entity display. |
Users must have a minimum of Unlisted Access in Projects, Stories, and Dashboards to view data in a Dashboard.
Share a Dashboard
To access the share pane, click on the SHARE button in the dashboard tile. Here you can give users in the group Owner Access, General Access, or Unlisted Access.
- Click SHARE on the dashboard tile
- Drag and drop users into the required permission group
- Press SAVE
What do you and other users see in the Dashboards area?
When in the DASHBOARDS area, you can identify the pages you own and those that have been shared with you. The person icon displays for Owned by me and the share icon for Shared with me. When you share a dashboard using General Access, users can access the dashboard via Shared with Me.
Hover over the person and share icons on the dashboard tile to see the dashboard owner(s).
b. Share a Dashboard Link
Any person in the same Harmoni group is able to access the Dashboard, but only if they have or know the direct link or pathway to it. Sharing a link is an easy way to provide access, especially when you have several dashboards with navigation buttons to move between pages. You can share dashboard pages by sharing the relevant links:
- Load the dashboard page and copy the URL from the address bar.
- Share the link with users. They must have a minimum of Unlisted Access to view the dashboard.
You can set up navigation buttons, allowing your audience to easily move between dashboard pages when you share a single URL.
Note: Remember to publish and share relevant projects with the user to view the stories.

c. Share via a Story
Dashboard pages can be saved as story views, which can then be shared with others. Saving as a story is helpful for sharing with team members without direct dashboard access. Users can interact with the dashboard charts saved in a story, zooming in and using the interactive title.
You can also export the dashboard directly to Excel or PowerPoint.
