When you log into Harmoni, you have access to a specific license type (user role), a specific site (or sites) and you also need access to Projects, Stories and Dashboards. This article provides an overview to what is required to access Harmoni.
In this article
1. How to Access Harmoni
Depending on your company's internal procedure for accessing software, there are two alternative paths to access Harmoni.
- Users with Single Sign On (SSO)
- Users who log in with a username and password
If your company provides an SSO option for authenticated users, please review the Sign in with SSO article.
If you need to log into Harmoni using a username and password, please review the Sign in with username and password article.
2. Licenses
Your user license role determines your experience in Harmoni. Harmoni allows for three distinct levels of access: Creator, Explorer, and Viewer.
- All users must be allocated a license.
- Each user has a single login and role, which will give them access to one or more sites
- Infotools can automate a license allocation by associating it with a registration link.
- Only Infotools can assign licenses manually.

3. Site Access
In Harmoni, you will be linked with a group that has access to a specific site where projects, stories and dashboards are stored.
- Sites are specific to a client company.
- Access is gained either by clicking a self-registration link generated for the site, which users with a username and password use, or for those logging in with SSO, the registration link is not required as sites are pre-determined. Either way, when users first access Harmoni, they are taken to a site where they have access to their work items (projects, stories and dashboards).
- Existing users who already have access to a specific site in Harmoni and need access to additional sites or groups are manually added. Contact your Harmoni representative or support@infotools.com.

4. Publish and Sharing
Even with a license and access to the site, users will not see the project or data within a story or dashboard until the project, stories, and dashboards have been published to them.
- The Project needs to be published before anyone can see it.
- The Project also needs to be shared with the users and/or groups of users who you want to see it.
- A Project can be automatically published to All Users by dragging All Users into the Unlisted Access.
- By default, all users have unlisted access to all Dashboards and Stories on a site, so once the project is published they can access the results.
